Understanding the Flexible Scheduler in Imagine+ Assessment

The Flexible Scheduler is a key tool in Imagine+ Assessment© that allows Administrators to create, edit, and manage assessment schedules for Imagine+ Diagnostic and Screener assessments. This tool streamlines the process of assessment management, providing flexibility and control over scheduling and monitoring.

 Important

Before scheduling, make sure that you or another administrator have rostered all students into classes and granted both the classes and students access to Imagine+ Assessment in the Product Portal. Only students in eligible classes with proper product access can be assigned to assessment schedules.

Accessing the Flexible Scheduler

  1. From your Imagine+ Assessment dashboard, click Scheduling in the left navigation panel.

    This will display the Schedule List page, where Administrators can view, edit, or create schedules. Teachers access this page the same way but have view-only permissions.

User Roles and Permissions

  • District Administrators: Create and edit assessment schedules at all levels (distict, school, class, and student levels).
  • School Administrators: Create and edit assessment schedules for your assigned school(s) (school, class, and student levels).
  • Teachers: Obtain read-only access to schedules for your assigned classes

Key Functions

Administrators: The Flexible Scheduler provides you with the following capabilities:

Scheduling Rules

  • Overlapping Windows: Students must complete the assessment with the earliest start date first. Subsequent assessments are grayed out until the earlier assessment is completed.
  • Non-Contiguous Windows: Assessment windows do not need to be contiguous, giving Administrators the flexibility to schedule assessments with gaps as needed.

Warning notifications alert Administrators if overlapping schedules occur for the same assessment.

Frequently Asked Questions

Can I add newly enrolled students to a schedule?

Yes. When schedules are created by level (district, school, or class), newly enrolled students are automatically added. However, if any students are manually removed during scheduling, automatic addition is disabled.

 Update

In a future update (planned for Fall 2025), newly rostered students will be automatically assigned to the earliest open or upcoming schedule for their assessment, if one exists. If no schedule exists, an Administrator will need to schedule them manually.

Can students be assigned to multiple schedules for the same assessment?

No. Students already assigned to the same assessment cannot be reassigned. They will appear grayed out with an asterisk (*) in the Add Students section.

 Known Issue

Currently, the scheduler may not always block you from attempting to schedule students who are already assigned to the same assessment. This can result in a “ghost schedule” (the system says the schedule was created, but it does not appear in the Schedule List). A fix for this issue is planned for Fall 2025. After the update, the scheduler will block already-assigned students from being scheduled again, and will prevent ghost schedules.

Can School Administrators edit schedules created by District Administrators?

Yes. If a School Administrator edits a District Administrator's schedule, a new, separate schedule is created under the School Administrator's name only if the School Administrator changes the dates or test window. Their students will be added to the new schedule and removed from the original schedule, which otherwise remains unchanged for any other schools assigned to it. If a School Administrator only reassigns students or makes changes within their scope (without editing dates/windows), the schedule is edited in place and remains district-owned.

 Planned Enhancement

In a future update, the scheduler will display a warning when an edit will cause a split and create a new schedule. All edits and splits are tracked for audit purposes, and district-level schedules left with zero students after a split will be automatically archived or soft-deleted.

When should I schedule our assessments?

For the best results and to ensure consistent data for instructional planning, we recommend scheduling assessments within these windows:

  • Imagine+ Screener (PreK–3):
    • Screener BOY (Beginning of Year): October through early November
    • Screener MOY (Middle of Year): Late January through February
    • Screener EOY (End of Year): Late April through May
  • Imagine+ Diagnostic (K–12):
    • Diagnostic 1: July 1–October 31
    • Diagnostic 2: November 1–March 31
    • Diagnostic 3: April 1–June 30
    • Diagnostic 4 (Optional): As needed

Select specific dates within these ranges that align with your district calendar, grading periods, or other major instructional transitions. Scheduling windows are flexible and can be updated later if needed—see Editing assessment schedules in Imagine+ Assessment. For best results, allow at least 45 days between assessment windows to maximize instructional impact and observe student growth.
