Editing assessment schedules in Imagine+ Assessment

The Flexible Scheduler in Imagine+ Assessment® allows administrators to update test windows and student assignments for Diagnostic and Screener assessments, even after an assessment window has started. This flexibility helps accommodate changes in schedules or student enrollments. Only Upcoming and In Progress schedules can be edited.

 Permissions

  • District administrators can edit any assessment schedule for all students in their district.
  • School administrators can edit assessment schedules for students at their school(s) only.
  • Teachers have view-only access for students in their assigned classes.

 Important for School Administrators

If a School Administrator edits the dates or test window of a schedule originally created by a District Administrator, a new, separate schedule is automatically created under the SA's name. If a SA only adds or removes students within their school, edits are applied in place and the schedule remains district-owned. If the original district schedule only covered the SA's school, edits are also made in place. A future update will display a warning when an edit will cause a split and track all edits for audit purposes.

How to edit an assessment schedule

  1. From your Imagine+ Assessment dashboard, click Scheduling in the left navigation panel.

  2. Click the next to the assessment you want to edit.

  3. Choose one of the following:
    • Edit test window: Adjust the schedule's start and/or end dates.
    • Edit students: Add or remove students assigned to the schedule.

Editing test windows

  1. Select Edit test window from the menu.
  2. Click the calendar icon to select new start and/or end dates.

  3. Click Save to apply your changes.

 Restrictions

  • Dates in the past or outside your current academic session cannot be selected.
  • For In Progress assessments, the start date is locked; only the end date can be changed.

Editing students

  1. Select Edit students from the menu.
  2. To add students: In the Add Students section, click the arrows (ipa_scheduler_arrow.png) to drill down to school, class, or student levels.

  3. Click the plus sign (ipa_scheduler_plus-sign.png) next to a group or individual to add them to the schedule.

  4. To remove students: In the Selected Students panel, click the arrows (ipa_scheduler_arrow.png) to drill down to the school, class, or student levels.
  5. Click the minus sign (ipa_scheduler_minus-sign.png) next to a group or individual to remove them from the schedule.

  6. Click Save when finished.

 Important

  • Students already assigned to the same assessment in another schedule appear with an asterisk (*) and cannot be added.
  • If you try to add only already-assigned students, you may receive a success message, but no new schedule will be created (“ghost schedule”). A future update will address this by blocking already-assigned students.
  • Only students with a "Not Started" status can be removed from an In Progress schedule.

 Student Transfers

Progress is preserved if students move between classes within the same schedule.

Troubleshooting

Issue Solution
Can't add a student Check if the student's name is grayed out with an asterisk (*). This indicates they are already assigned to this assessment in another schedule.
Can't remove a student Only students with a "Not Started" status can be removed from an In Progress schedule.
Missing students Verify the student's enrollment status in the Product Portal.
Can't edit start date The start date is locked for "In Progress" assessments. Only the end date can be modified.
