Scheduling assessments in Imagine+ Assessment

The Flexible Scheduler in Imagine+ Assessment enables administrators to create and assign Diagnostic and Screener assessments tailored to their organization’s needs. This article walks you through the 4-step scheduling workflow: Choose Assessments, Choose Test Windows, Assign Students, and View Summary.

 Permissions

District administrators can schedule assessments at the district, school, class, or student level.
School administrators can schedule at the school, class, or student level.
Teachers have view-only access for assigned classes and cannot create or modify schedules.

 Important

Before scheduling, make sure that you have rostered all students into classes, and that you have granted both the classes and students access to Imagine+ Assessment in the Product Portal. Only students with proper class assignments and access will be available to add to assessment schedules.

Step 1: Choose assessments

  1. Log in to the Product Portal and select the Imagine+ Assessment tile.

  2. Click Scheduling in the left navigation panel.

  3. Click Schedule Assessment to launch the scheduler.

  4. Make selections from the drop-down menus on the Choose Assessments screen. Available options depend on your organization's product licensing.
    A. Select an Assessment Type from the dropdown list. Diagnostic or Screener.
    B. Choose the Subject. For Diagnostic, select Math or ELA. For Screener, ELA is auto-selected.
    C. In the Test drop-down list, check the box(es) next to the desired test(s).
    D. (Optional) Add a note (up to 100 characters) that provides details, such as the target school, grade, or student group.

  5. In the bottom right of the screen, click Next to proceed.

Step 2: Choose test windows

  1. Click the calendar icon to set a start and end date for the assessment window. If scheduling multiple assessments, repeat the date selection for each.

    • Screener BOY (Beginning of Year): October through early November
    • Screener MOY (Middle of Year): Late January through February
    • Screener EOY (End of Year): Late April through May

    For best results, allow at least 45 days between each window to maximize instructional time and observe student growth.

    • Diagnostic 1: July 1–October 31
    • Diagnostic 2: November 1–March 31
    • Diagnostic 3: April 1–June 30
    • Diagnostic 4 (Optional): As needed

    Choose specific dates within these ranges based on your local instructional needs. Assessment windows can be revised if your schedule changes. For best results, allow at least 45 days between each window to maximize instructional time and observe student growth.

  2. If needed, click Reset dates to clear your selections.

  3. In the bottom right of the page, click Next to continue.

 Scheduling Rules and Warnings

  • Available dates: You can only select dates within the current academic session.
  • Non-contiguous windows: Assessment windows do not need to be contiguous, so you can introduce gaps between windows as needed.
  • Overlapping windows: Overlapping assessment windows are allowed, but students must complete the assessment with the earliest start date first. Subsequent assessments appear grayed out until the earlier assessment is completed.

Step 3: Assign students

  1. In the Add Students panel on the left, students are grouped within an expandable hierarchy (collapsed by default). Click an arrow (ipa_scheduler_arrow.png) to view the next level down. You can drill down to the student level.

     Note

    You can only assign students who have been rostered into classes and given access to Imagine+ Assessment in the Product Portal.

  2. To add students to the schedule, you can:
    A. Click the plus sign (ipa_scheduler_plus-sign.png) next to a group (district, school, or class) to add all students in that group.
    B. Expand a group and click the plus sign (ipa_scheduler_plus-sign.png) next to a student's name to add them individually.

     Note

    Students already assigned to the same assessment appear with an asterisk (*).

  3. The added students appear in the Selected Students panel on the right. To remove students, you can:
    A. Click the minus sign (ipa_scheduler_minus-sign.png) next to a group to remove all students in that group.
    B. Expand groups to remove individuals as needed.

  4. In the bottom right of the page, click Next to review your selections.

 Note

If you attempt to schedule only students who are already assigned, a "ghost schedule" may occur (no schedule is created). A future update will address this by blocking already-assigned students.

Step 4: View summary

  1. Review all schedule details on the View Summary page:
    A. Assessment type
    B. Assessment windows
    C. Selected students or groups
    D. Any notes added

  2. To make changes, click the pencil icon (ipa_formatives_pencil.png) next to a section.
  3. When everything is correct, click Schedule to finalize.

 Caution

Exiting before clicking Schedule will discard all unsaved progress. A confirmation prompt will appear if you try to exit the scheduler early.

After scheduling

  • View scheduled assessments on the Scheduling page.
  • Students can access assessments when the test windows open. If windows overlap, students must complete the earliest assessment first.
  • If needed, you can edit assessment schedules.
  • Educators can monitor progress and completion from the Scheduling page.
  • Newly rostered students are not automatically assigned to existing schedules; you must add them manually.

 Tips

Troubleshooting

  • Can't select dates: Ensure dates fall within the academic session and are not in the past.
  • Missing students: Confirm that students are properly enrolled in Imagine+ Assessment and verify that they haven't been added to a schedule for the same assessment.
