The Flexible Scheduler in Imagine+ Assessment lets Administrators create and manage assessment schedules for students, classes, schools, and districts.
Use it to schedule assessments, check completion status, update schedules, reopen closed schedules, and manage reassigned assessments.
Before you start
Make sure students are rostered into classes and have access to Imagine+ Assessment in the Product Portal before you create schedules.
Note
Imagine+ Formatives are managed in the Formatives Dashboard, not in the Flexible Scheduler. To create formative assignments, see Creating assignments with Imagine+ Formatives.
To open the scheduler:
- In Imagine+ Assessment, select Scheduling in the left navigation menu.
- Review the Schedule List page, where administrators can view, create, and manage schedules.
Who can use the Flexible Scheduler
- District administrators: Can view and edit schedules across the district.
- School administrators: Can view and edit schedules for their assigned schools. Some schedules created by District Administrators may have limited edit options.
- Teachers: Can view schedules for their assigned classes but cannot create, edit, delete, reopen, or reassign assessments.
For more information, see User roles and permissions in Imagine+ Assessment.
What administrators can do
- Schedule & assign assessments: Create schedules for the Imagine+ Diagnostic, Benchmarks, or EarlyBird Screener assessments and assign them to individual students, classes, schools, or the entire district.
- View scheduled assessments: Access the Schedule List to view all scheduled assessments with sorting and filtering options for efficient management.
- Monitor student progress on assessments: Track the completion status of assessments in real time.
- Edit assessment schedules: Modify the start and end dates, or add/remove students from schedules.
- Reopen closed assessment windows: Give students more time to complete an assessment.
- Delete scheduled assessments: Remove Upcoming assessments from the schedule list.
Note
The assessments available to you depend on your organization’s product licensing.
Scheduling guidance
- Schedule assessments around your school calendar so students have enough time to complete them.
- If assessment windows overlap, students must complete the assessment with the earliest start date first.
- Assessment windows do not need to be back-to-back, so you can leave gaps between them when needed.
Recommendation
Leave enough time between assessment windows for instruction and student growth before the next assessment begins.
Frequently Asked Questions
Yes. When schedules are bulk-assigned to a group (district, school, or class) and you leave the student/class list unchanged, newly rostered students in those classes are automatically added to the schedule as long as the test window is open or upcoming. If you edit the student/class list, the schedule becomes a custom schedule, and new students are no longer automatically added. In that case, you must add new students manually.
No. Students already assigned to the same assessment cannot be reassigned. They will appear grayed out with an asterisk (*) in the Add Students section and are blocked from being added again.
Yes. If a School Administrator edits a District Administrator's schedule, a new, separate schedule is created under the School Administrator's name only if the School Administrator changes the dates or test window. Their students will be added to the new schedule and removed from the original schedule, which otherwise remains unchanged for any other schools assigned to it. If a School Administrator only reassigns students or makes changes within their scope (without editing dates/windows), the schedule is edited in place and remains district-owned.
No. The grade-level filter is locked once a benchmark schedule is created and cannot be changed or removed. During any future edits—including adding students—only students whose rostered grade matches the original filter will be available for selection.
If you need to remove a student from the schedule due to a grade change, you must do so manually.
It depends on the direction of the change:
- If the student's grade no longer matches the filter: The student stays on the schedule. The system does not automatically remove students from a benchmark schedule due to a grade change. If you want to remove them, you must do so manually.
- If the student's grade changes to match the filter: The student is automatically added to any upcoming or in-progress schedule, consistent with how newly rostered students are handled.
For the best results and to ensure consistent data for instructional planning, we recommend scheduling assessments within these windows:
-
Imagine+ EarlyBird Screener (PreK–3):
- Screener BOY (Beginning of Year): October through early November
- Screener MOY (Middle of Year): Late January through February
- Screener EOY (End of Year): Late April through May
-
Imagine+ Diagnostic (K–12):
- Diagnostic 1: July 1–October 31
- Diagnostic 2: November 1–March 31
- Diagnostic 3: April 1–June 30
- Diagnostic 4 (Optional): As needed
Select specific dates within these ranges that align with your district calendar, grading periods, or other major instructional transitions. Scheduling windows are flexible and can be updated later if needed—see Editing assessment schedules in Imagine+ Assessment. For best results, allow at least 45 days between assessment windows to maximize instructional impact and observe student growth.
