Traditional Assisted Rostering: Literacy and MyPath template specification

The steps in this article apply only if you have selected the TRADITIONAL Assisted rostering option.

This article applies to the following products:

To start the traditional rostering process, you will populate 4 rostering templates per product — one with data for organizations, one for classes, one for users, and one for students. You can save the templates as CSV or Excel (.xls or .xlsx) files, but the Strict Open XML Spreadsheet file format is not supported. You will then send these roster files to Imagine Learning using the secure form at the bottom of this page. 

 Tip

Leading zeros from record numbers, usernames, and passwords may get dropped during the import if you use Excel files. To avoid this problem, format the text in the columns before you import data.

Completing the Organization Import Template

The Organization template is used for schools.

  1. Download the Organization import template
  2. Complete the fields on the template using these instructions:

     Note

    In the Field column, required fields are marked with an asterisk (*). The data is not case-sensitive.

    Field Description
    OrganizationNumber* 

    Specify the number that has been assigned to this organization by the district or by the district SIS. This number is a primary identifier; it uniquely identifies the organization
    and will not change. In this and other templates, you
    use this number to associate schools, users, and students
    with this organization.

    OrganizationName* 

    Specify the name of the organization as it should appear in-product. The first import creates a new organization and associates the organization number with this organization name. In subsequent imports, you can change the organization name by using the correct organization number.

    OrganizationType* 

    Specify the type of the organization that you want to create.
    Enter school (default value) or district.

    StreetAddress 

    Enter the street address of the organization. 

    City 

    Enter the city where the organization is located. 

    State

    Enter the state where the organization is located. 

    Zip

    Enter the zip code of the organization. The organization's zip code is used to set the time zone for the school.

    Country

    Enter the country where the organization is located. For the United States, use USA. 

    ParentOrganizationNumber 

    If you want to create a parent organization for a site, enter
    one of the organization numbers to associate this organization
    with its parent organization (always a district). Any organization that has a blank parent organization number will be created or updated at the root level of the site. Districts are not typically assigned to another organization; they are usually assigned to the root site.

  3. Save the file using this naming convention: [State] - [District] - Organization - Product Name.

     Example

    Texas - Small Town ISD - Organization - Imagine Español 

  4. Do one of the following:

    You have additional templates to fill out Continue to the Completing the Class Import Template, Completing the User Import Template, or Completing the Student Import Template section in this article.
    You are uploading only an organization template Continue to the Uploading Roster Files section in this article.

Completing the Class Import Template

The Class import template is used for groups of students.

  1. Download the Class import template
  2. Complete the fields on the template using these instructions:

    Field Description
    ClassNumber* 

    Enter the number that has been assigned to this class by the district or by the district SIS. This number is a primary identifier; it uniquely identifies the class and will not change. In this and other templates, you use this number to assign users and students to this class.

    ClassName* 

    Enter the name of the class as it should appear in the program. The initial import creates the class and associates the class name with the class number. In subsequent imports, you can change the class name by using the correct class number.

    OrganizationNumber* 

    Enter the organization number so that you can assign this class to the correct school.

  3. Save the file using this naming convention: [State] - [District or School Name] - Class - Product Name.

     Example

    Texas - Small Town ISD - Class - Imagine Español 

  4. Do one of the following:
    If Then
    You have additional templates to fill out Continue to the Completing the User Import Template or the Completing the Student Import Template section in this article.
    You are done filling out templates and are ready to send them to Imagine Learning Continue to the Uploading Roster Files section in this article.

Completing the User Import Template

The User import template is used for District Administrators, School Administrators, and Teachers

  1. Download the User import template
  2. Complete the fields on the template using these instructions:

     Note

    In the Field column, required fields are marked with an asterisk (*). The data is not case-sensitive.

    Field Description
    UserNumber* 

    Enter the administrator or instructor's number as defined by the district or by the district SIS. This number is a primary identifier; it uniquely identifies the user and will not change.

    Username* 

    Enter the username. The username must be an email address. The username is globally unique. The first import creates the user and associates the user number with this username. In subsequent imports, by using the correct user number, you can change the username; however, no two users may share the same username.

    FirstName* 

    Enter the first name of the user. Cannot begin with numbers (i.e. 1, 2, 3). Cannot begin with—or contain—commas or special characters (i.e., &, @, #, $, ?).

    LastName* 

    Enter the last name of the user. Cannot begin with numbers (i.e. 1, 2, 3). Cannot begin with—or contain—commas or special characters (i.e., &, @, #, $, ?).

    Usertype* 

    Enter administrator or instructor (default value).

    OrganizationNumbers* 

    Specify an organization number (from the Organizations.xxx import file) to assign the user to a school or district. To associate a user with more than one organization, separate the organization numbers with semi-colons.

    ClassNumbers*

    Specify a class number to assign the user to a class. To associate a user with more than one class, separate class numbers with semi-colons. Users can only be assigned to classes within organizations to which they belong.

    UserSsoId

    Specify the SSO realm and unique identifier assigned to this user by your Single Sign-On identity provider separated by a divider '|' (examplerealm|ssoid).

  3. Save the file using this naming convention: [State] - [District] - User - Product Name.

  4. Do one of the following:

Completing the Student Import Template

The Student import template is used for students.  

  1. Download the Student import template
  2. Complete the fields on the template using these instructions:

    In the Field column, required fields are marked with an asterisk (*). The data is not case-sensitive.

    Field Description
    StudentNumber*

    Specify the student's number as defined by the district or by the district SIS. This number is a primary identifier; it uniquely identifies the student and will not change.

    AlternateStudentNumber

    State-assigned student number.

    StudentUsername* 

    Enter the student's username. The student username must contain at least 3 characters. The student username is a secondary identifier; it is unique within the site. The first import associates the student number with this student username. In subsequent imports, by using the correct student number, you can change the student username. If left blank, username will be generated.

    Password* 

    Create the student's password. The password must contain at least four characters. If left blank, password will be generated.

    FirstName* 

    Enter the first name of the student. Cannot begin with numbers (i.e. 1, 2, 3). Cannot begin with—or contain—commas or special characters (i.e., &, @, #, $, ?) 

    LastName* 

    Enter the last name of the student. Cannot begin with numbers (i.e. 1, 2, 3). Cannot begin with—or contain—commas or special characters (i.e., &, @, #, $, ?). 

    GradeLevel* 

    Enter the student’s grade level. Choose from these grade levels: PKK1, 234567891011, or 12.

    Language* 

    Specify the student's native language.

    Demographic

    Indicate whether the student has an Individual Education Plan (IEP) or is an English Language Learner (ELL) by typing "IEP" or "ELL". If both, separate them with a semi-colon.

    OrganizationNumbers*

    Specify a number to assign the student to a school. Students may only be associated with a single school at one time.

    ClassNumbers*

    Enter a class number to assign the student to a class. To associate a student with more than one class, separate class numbers with semi-colons. Students can only be assigned to classes within organizations to which they belong.

    StudentSsoId

    Enter the SSO authentication realm and unique identifier assigned to this user by your Single Sign-On identity provider, separated by a divider '|' (for example, enter "realm|ssoid.")

  3. Save the file using this naming convention: [State] - [District Name] - Student - Product Name.

     Example

    Texas - Small Town ISD - Student - Imagine Español

  4. Continue to the Uploading Roster Files section in this article.

Complete the fields in the form below as follows, then press the Continue to File Uploader button:

If you have multiple MyPath products, choose a MyPath product from the Product field, and feel free to mention any additional applicable MyPath products in the Comments section of the form

Field Description
Name*

Enter your name.

Email* Enter your email address.
Job Title

Enter your job title.

State* Select your state.
District* Enter the district.
School(s) Enter the name of your school. If there is more than one school, separate the names with commas.
Product*

Select Imagine Language & Literacy, Imagine Español, Imagine Reading, Imagine Lectura, Assessment Galileo, Imagine MyPath Math, Imagine MyPath Reading, Imagine Purpose, or Imagine Science Corner.
