2023 End-of-year data reset procedures for Imagine Learning Literacy suite products

What is a Data Reset?

A data reset is the process of preparing returning customers for a new school year by clearing out old academic data before rostering occurs in the new school year. All resets must occur at the district level, which triggers a concurrent data reset for all schools within the district. In the Imagine Learning literacy products listed above, some student data is retained and some is archived.

A yearly data reset ensures that obsolete, unauthorized, or inactive student information does not propagate from year to year across products. This work is critical for meeting FERPA requirements and supporting customer privacy agreements.

Reset Window:

The 2023 universal default reset date is July 28, 2023.

  • Districts that do not respond to their CSM's correspondence regarding EOY processes will be reset on July 28, 2023.
    • Leave the reset date as July 28th if your school year and summer school session both end before July 28th.
  • Districts that want a different reset date must contact their CSM. You may choose any date June 19th or after as long as the reset takes place BEFORE rostering for the new school year
    • If your school year and/or summer school session end after July 28th, select the earliest possible date after their conclusion.
  • All automated nightly import syncs will pause on the reset date and will be turned back on when your rostering for the new year is complete.

Imagine Language & Literacy and Imagine Español customers: Download a copy of this year's data for your records before your reset date occurs.

What Data is Archived/Deleted/Retained?

This table below shows what happens to each type of data during the reset.

*When data is archived:

  • Student academic data (such as assessment scores, lesson pass rates, and usage time) are retained behind the scenes. This information can be viewed in the Cumulative Performance Report for Imagine Language & Literacy and Imagine Español for the previous academic year but is not accessible inside the program itself.
  • When students are rostered for the new academic year within 90 days of the data reset, the system will match any previously enrolled students by their Student IDs. These students are considered returning students and will take the BOY Benchmark assessment in Imagine Language & Literacy rather than the Placement test. 
  • Student data is anonymized 90 days after the reset, so if more than 90 days pass before the student is re-enrolled in the program, the student will be considered a new student and will take the Placement test instead of the Benchmark assessment.
